Back Office Executive

1. Data & Documentation ManagementEnter and update customer, order, and product information accurately in ERP/CRM systems. Maintain and organize digital and physical records (quotations, purchase orders, dispatch records, invoices, etc.). Verify data accuracy and resolve discrepancies in coordination with relevant departments. 2. Coordination & CommunicationCoordinate with sales, purchase, and factory teams to ensure smooth order processing and delivery timelines. Assist in follow-ups for quotations, order confirmations, dispatch status, and documentation completion. Respond to internal and external emails promptly and professionally. 3. Quotation & Order SupportPrepare and format quotations as per customer or internal templates. Track quote status and follow up on pending approvals or revisions. Support the sales team by providing backend data, price sheets, and documentation. 4. Reporting & TrackingMaintain daily/weekly MIS reports for management review (inquiries, orders, dispatches, etc.). Track inventory movements in coordination with the stores or factory team. Update trackers (Google Sheets/Excel/CRM) for visibility and accountability of ongoing tasks. 5. Process & ComplianceEnsure all backend operations follow company SOPs and documentation standards. Support implementation of workflow improvements or automation tools. Maintain confidentiality and data integrity at all times. Required Skills & Competencies:Strong proficiency in MS Office / Google Sheets / ERP systems / CRM tools. Excellent written and verbal communication skills. Ability to multitask, prioritize, and meet deadlines. High level of accuracy, attention to detail, and accountability. Basic understanding of sales, purchase, or logistics processes preferred.
