Associate Manager - Travel

Position: Associate Manager – Travel Location: Gurgaon HO Department: Workplace & Administration - Travel Operations Key Responsibility Areas (KRAs): End-to-End Travel Management Handle all domestic and international travel requirements including flights, hotels, trains, buses, and visa services. Ensure timely and cost-effective travel bookings while adhering to company policies. Vendor Coordination & Management Liaise with travel vendors, airlines, hotels, and visa agents for bookings and contracts. Negotiate rates and build strong vendor partnerships for seamless service delivery. Monitor vendor performance regularly to ensure service quality and compliance. Travel Policy Compliance Enforce adherence to travel policies for all employees and escalate deviations when necessary. Recommend policy updates based on travel trends and operational feedback. Visa & Documentation Support Facilitate international travel including visa documentation, insurance, and compliance with immigration regulations. Maintain a checklist and tracker for visa submissions, renewals, and validity. MIS & Reporting Maintain accurate and up-to-date records of all travel bookings and costs. Share weekly/monthly reports with key stakeholders, including travel expense summaries and budget utilization. Crisis & Last-Minute Travel Handling Ensure smooth handling of emergency and last-minute travel requests Proactively resolve travel disruptions (cancellations, delays, rebookings). Process Optimization Identify process improvement opportunities in travel management. Knowledge of MMT platform. Team Coordination Guide and support junior travel coordinators if applicable. Ensure task delegation, knowledge sharing, and performance tracking. Preferred Qualifications & Skills: Graduate with 4–6 years of relevant experience in managing both domestic and international travel. Proficiency in travel booking platforms like MMT. Strong negotiation, multitasking, and communication skills. Hands-on experience with MIS reporting and vendor coordination. Exposure to visa processing for international destinations is a must.
