Role Clarity: Assistant Manager - Supply Chain
Reporting To:
Head Supply Chain
Role Definition:
The Assistant Supply Chain Manager is responsible for ensuring end-to-end fulfillment of supply requests, accurate inventory management, vendor coordination, and timely reporting. The role supports the Head - Supply Chain in achieving order accuracy, cost efficiency, and operational continuity across all labs and collection points.
Key Deliverables:
Timely and complete order fulfillment across all locations
Zero stock-outs and >98% inventory accuracy
COGS maintained within target thresholds
GRN-PO accuracy and vendor timeline compliance
100% adherence to MIS and documentation schedule
Task & Activities:
Order Fulfillment & Delivery
Monitor supply requests from Labs, and Collection points through LIMS.
Coordinate order dispatches with the warehouse team ensuring right product, right quantity, and right location.
Track last-mile delivery timelines and follow up with logistics for SLA compliance.
Maintain service level dashboards and report delivery performance against internal SLAs.
Collect and review CSAT scores from end users on supply experience; escalate delays or complaints.
Inventory Accuracy & Management
Conduct cycle counts and assist in monthly/quarterly physical stock audits across warehouses and regional stores.
Update real-time stock positions in LIMS and flag inventory mismatches.
Ensure timely consumption entries and inter-location stock transfers are booked correctly.
Track shelf-life of reagents and kits; coordinate reallocation or disposal of near-expiry and non-moving stock.
Implement FEFO (First Expiry First Out) to minimize wastage.
COGS Management
Monitor material cost trends across key categories (consumables, reagents, lab equipment).
Collaborate with internal team to identify high-cost materials and explore cost-saving alternatives.
Track actual consumption against forecasts and flag unusual variances.
Provide data for COGS dashboards and support in monthly review presentations.
Suggest bundle procurement or vendor consolidation based on usage patterns.
Vendor Management
Track purchase orders issued and ensure vendors comply with agreed timelines and specs.
Perform GRN matching for every delivery validate quantity, quality, and invoice.
Identify and resolve mismatches in PO, GRN, and invoicing in coordination with procurement and accounts.
Maintain a vendor performance tracker (timeliness, quality issues, communication gaps).
Support vendor review meetings with evidence-based feedback.
MIS Reporting & Documentation
Submit daily stock status reports, monthly fulfillment SLAs, and exception reports as per defined schedule.
Maintain records of dispatch slips, GRNs, transfer notes, and expiry logs in both digital and physical formats.
Update the LIMS dashboard weekly with status of open orders, inventory at risk, and pending deliveries.
Prepare audit-ready documents for inventory, vendor deliveries, and reconciliations.
