Job Profile – Assistant Manager (Administration) in EPC

Position Title: Assistant Manager – Administration

Department: Corporate / Project Administration

Reporting To: Deputy Manager/Manager – Administration / Head – Administration

Location: Corporate Office / Project Sites

Role Objective

To support the smooth functioning of corporate and project site administration by managing facilities, employee services, statutory compliances, and general administrative activities, thereby ensuring an efficient work environment aligned with organizational standards in an EPC setup.

Key Responsibilities

1. Office & Site Administration

  • Oversee day-to-day administrative operations at corporate office and project sites.
  • Ensure upkeep, maintenance, and availability of office/site infrastructure (workstations, utilities, housekeeping, pantry, etc.).
  • Coordinate travel, transport, lodging, and boarding arrangements for employees, consultants, and visitors.
  • Support mobilization/demobilization of manpower at project sites.

2. Vendor & Contract Management

  • Identify, negotiate, and manage vendors for admin-related services (housekeeping, catering, transport, security, etc.).
  • Maintain AMCs (Annual Maintenance Contracts) for facilities, equipment, and vehicles.
  • Track vendor performance and ensure service level agreements are met.

3. Employee Services & Welfare

  • Facilitate canteen, medical, transport, and other employee welfare services at site and office.
  • Manage grievance redressal related to admin services.
  • Support compliance with health, safety, and environmental (HSE) policies in coordination with HSE team.

4. Statutory & Compliance

  • Ensure statutory compliance for labour laws, licenses, permits, and approvals relevant to project sites.
  • Coordinate with HR & Legal for audits, inspections, and renewals.

5. Documentation & Reporting

  • Maintain records of agreements, licenses, facilities, vehicle logs, and site assets.
  • Generate MIS reports on admin expenses, transport usage, manpower movement, etc.
  • Ensure adherence to budgetary controls for admin expenses.

6. Support to Management & Projects

  • Assist in organizing official events, conferences, and project kick-off meetings.
  • Liaise with government authorities, local bodies, and communities as required.
  • Provide timely administrative support for smooth project execution.

Key Skills & Competencies

  • Strong knowledge of EPC/site administration practices.
  • Vendor negotiation and contract management skills.
  • Knowledge of statutory requirements related to admin & labour compliance.
  • Good communication and coordination abilities.
  • Problem-solving and quick decision-making at site level.
  • Proficiency in MS Office and ERP systems.

Qualification & Experience

  • Graduate / Post Graduate in any discipline (MBA/PGDM preferred).
  • 5–8 years of experience in administration, preferably in EPC / Infrastructure / Construction industry.
  • Exposure to multi-site admin management will be an added advantage.
