Job Description

Administration
  • Manage and supervise all day-to-day office administrative activities.
  • Manages and maintains the office, including monitoring and ordering stationery needs.
  • Provides administrative support to managers and the general office. (Arrange workshop/training program. If required).
  • Monitors and improves office systems and procedures.
Housekeeping management
  • Monitoring of cleanliness maintenance of all Office, factory area, Guest House and Corridor, Staircases, Garden, Car parking area, laboratory etc. And check their maintenance records.
Canteen Management
  • Check requirement canteen items. Proper arrangement of Tea and Snake, meal for workers, Staff visitors and maintain their records.
Travel Desk Management
  • Vehicle Management of Company owned vehicles. (Running Cost, Repair and upkeep, Documents renewals, Hygiene and Drives).
  • Coordinating with Travel Agencies for Hotel booking Car arrangements for employees and Guest. Rate negotiation and finalize with transporter.
Annual Maintenance Contract
  • Managing vendors and keeping track of cycle of all maintenance contracts and AMCs. I.e. Computers, Air Conditioners, Vehicles, Insurance, Pest Control, EPABX, Internet, Garden, CCTV, etc.) Manages general correspondence, postage, company documents, statements, and reports.
Vendor Management
  • Vendor Management Office Administration (Adequacy of Stationary / Provisions / Refreshments / adequacy of Sub Staff) Courier Dispatch (Inward / Outward / Outstation) / also making record of the same. Fulfillment of printing stationary requirements of all departments.
  • Inquiry Development of vendors.
  • Collect, Check verify quotations if new vendor development.
  • Co-ordinate with suppliers.
  • Timely submission of monthly bills of vendors and their payment on time.
  • All Bill to be through SAP entry.
  • Timely PR PO process as per requirement.
  • Timely Insurance Claims and their settlements.
General Administration
  • Maintenance and fulfillment of the requirements of first aid room first aid boxes.
  • Responsible to Manage Petty cash.
  • Prepare monthly Budget, annual budget for Admin related.
  • Maintain Monthly/Quarterly MIS Admin report.
  • Works with team members, as well as autonomously, in a variety of situations and circumstances.
  • Management of rented company/ Directors properties maintenance/ Rental renewals etc.
  • Handling complete facilities and infrastructure of office and liaison with local authorities and local persons.
  • Ensure opening of bank account, ID card, visiting card, e-mail ID, arranging for sitting place, oversee supply of computer, stationery etc.
Social Accountability
  • Ensure compliance / documentation for social accountability audits and ISO certification.
  • Handle periodic audit for SA-8000 certification.
