Job Description

Position 1: Admin Officer – Parent Engagement & Internal Operations

About the Role

We’re looking for someone who genuinely enjoys working with people, especially parents and teachers. If you’re warm, articulate, proactive, and find joy in helping things run smoothly at school, this role might be for you. You’ll be the go-to person for handling admissions-related conversations, coordinating between teachers and parents, supporting our outreach to preschools, and helping organize events and campus visits.

What You'll Do?

Parent Communication & Coordination

  • Make first-level inquiry calls to parents and enter responses into CRM logs
  • Schedule and manage school visits: share reminders, arrange welcome kits, escort families
  • Share relevant documents: fee slips, admission forms, learner profiles, and post-visit emails
  • Log parent queries and forward to relevant departments with resolution follow-ups
  • Coordinate PTMs: collect inputs from teachers, book rooms, arrange seating, and circulate meeting links
  • Send reminders and updates through SkoolBeep, email, and phone calls
  • Register students for external exams and track deadlines with reminders to parents

Admissions Follow-through

  • Maintain and update admissions trackers weekly
  • Tag walk-ins, referrals, and digital leads for monthly analytics
  • Ensure documentation (forms, payment receipts, signed letters) is complete and archived

Preschool Partnerships

  • Build a database of preschools in the vicinity and initiate outreach
  • Schedule meetings, conduct presentations, and circulate partnership terms
  • Organize joint sessions and track leads generated via preschools

Teacher Hiring Support

  • Post job ads, track leads, and manage scheduling for coordinator demos and final HR rounds
  • Share classroom requirements, curriculum outlines, and sample templates with candidates
  • Facilitate induction: prepare kits, access logins, tour, and coordinate mentor assignment
  • Track ongoing issues from new teachers and escalate as required

Internal Event Planning

  • Collaborate on event briefs, themes, and program flows
  • Book vendors, prepare script documents, student lineups, and cue sheets
  • Supervise décor setup, resource distribution, and photo coverage
  • Compile post-event reports, feedback summaries, and participation records

Skills Required

  • Strong verbal and written communication skills
  • Empathy, approachability, and active listening
  • Conflict resolution and diplomacy in parent/staff situations
  • Excellent organizational and time management skills
  • Comfortable with Google Workspace, SkoolBeep, and digital forms
  • Basic understanding of school structure, academic routines, and teacher support needs
