Job Description

Key Responsibilities:

1. Office Administration

  • Oversee daily office operations and ensure a well-organized work environment.
  • Manage office supplies, inventory, and place orders when required.
  • Handle maintenance of office equipment and coordinate with vendors.
  • Maintain cleanliness and safety standards in the office.

2. Documentation & Record Keeping

  • Maintain and update company files, employee records, and documentation.
  • Prepare letters, reports, and internal communication materials.
  • Manage contracts, agreements, and other important administrative documents.

3. Coordination & Communication

  • Coordinate with various departments to support administrative requirements.
  • Handle incoming and outgoing mail, courier services, and communication.
  • Assist HR with onboarding formalities, documentation, and attendance tracking.

4. Support to Management

  • Schedule meetings, appointments, and conferences for senior staff.
  • Prepare meeting agendas, minutes, and follow-up actions.
  • Assist in organizing company events, training, and travel arrangements.

5. Facility & Vendor Management

  • Liaise with vendors for office supplies, repairs, and maintenance.
  • Ensure timely renewal of office contracts, AMC, and service agreements.
  • Monitor housekeeping, security staff, and office support teams.

6. Compliance & Reporting

  • Ensure adherence to company administrative policies and procedures.
  • Prepare periodic reports related to office expenses, vendor payments, and operations.
  • Support finance in handling petty cash and administrative budgets.

Required Skills & Qualifications:

Essential Skills

  • Strong organizational and time-management abilities.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
  • Problem-solving attitude with attention to detail.

Technical Skills

  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  • Knowledge of office management systems and procedures.
  • Experience with ERP or admin-related software (preferred).

Educational Requirements

  • Bachelors degree in Administration, Management, Commerce, or related field.
  • Prior experience as an Admin Executive or Office Administrator preferred.
