Job Description

We are seeking a diligent, organized, and detail-oriented Back Office Executive to join our team. The ideal candidate will provide essential administrative support, ensuring the smooth and efficient operation of our application processing department. This role is crucial for managing client documentation, maintaining accurate records, and facilitating timely submissions to universities and visa authorities.Key Responsibilities

  • Document Management: Collect, verify, organize, and securely store all client documents (transcripts, passports, test scores, etc.) in our database.
  • Application Processing Support: Assist senior counselors in preparing application forms and supporting documentation for submission to various international universities and visa offices.
  • Data Entry and Record Keeping: Accurately enter and update client information, application statuses, and communication logs in the Customer Relationship Management (CRM) system.
  • Coordination and Communication: Liaise with clients to request missing documents, provide application updates, and answer general administrative queries via email and phone.
  • File Management: Maintain both digital and physical client files, ensuring compliance with data privacy regulations and internal policies.
  • Administrative Support: Manage general office tasks, including scanning, printing, mailing documents, and scheduling appointments as needed.
  • Process Improvement: Identify areas for improving back-office efficiency and suggest streamlined workflows to management.

Qualifications and Skills

  • Education: Bachelor’s degree in any field (business administration or a related field is a plus).
  • Experience: Previous experience in a back-office role, administration, or data management is preferred; experience within the education or immigration sector is a significant advantage.
  • Organizational Skills: Exceptional attention to detail and strong organizational skills are a must, with the ability to manage multiple tasks simultaneously.
  • Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable working with CRM software and databases.
  • Communication: Excellent written and verbal communication skills in English; proficiency in local languages may be beneficial.
  • Problem-Solving: Proactive approach to problem-solving and the ability to work independently with minimal supervision.
  • Interpersonal Skills: A team player with a positive attitude and a professional demeanor when interacting with clients and colleagues.
