About the Organization:

Our client is a non-profit organization based in Delhi, working to bring positive and lasting change in the lives of those in need. We are looking for a dynamic and dependable Admin Manager to support our operations and ensure smooth day-to-day functioning of the organization.

Position Summary:

The Admin Manager will be responsible for managing all administrative functions of the organization including office operations, asset and inventory management, vendor coordination, facilities management, compliance support, and general support for program and HR teams. The ideal candidate will be a proactive problem-solver with strong organizational and interpersonal skills.

Key Responsibilities:

1. Office & Facilities Management

  • Oversee the general maintenance and upkeep of the office premises.
  • Ensure availability and functionality of office equipment, furniture, and supplies.
  • Supervise housekeeping and security staff to maintain hygiene and safety.

2. Procurement & Vendor Management

  • Identify vendors and manage procurement of office supplies, services, and equipment.
  • Maintain vendor records, contracts, and payment schedules.
  • Negotiate contracts and ensure cost-effective purchasing.

3. Asset & Inventory Management

  • Maintain accurate records of all office assets and inventory.
  • Conduct periodic physical audits and track usage or movement of assets.
  • Ensure tagging and coding of organizational assets.

4. Administrative Support

  • Support travel and logistics arrangements for staff and events.
  • Assist with scheduling meetings, conferences, and workshops.
  • Maintain administrative records and documentation.

5. Compliance & Documentation

  • Ensure proper documentation and filing of administrative records (physical and digital).
  • Support the HR and Finance teams in audits and statutory compliance as needed.
  • Coordinate with government/local authorities for facility-related approvals or documentation.

6. Team & Stakeholder Coordination

  • Liaise with internal teams to understand their administrative requirements.
  • Provide general support to project teams in the field as needed.
  • Foster a culture of service, accountability, and operational excellence.

Required Qualifications & Experience:

  • Graduate in any discipline from a recognized university (Admin/Management qualifications will be an advantage).
  • 3–8 years of experience in administration, preferably with NGOs or development sector organizations.
  • Strong communication skills in English and Hindi (verbal and written).
  • Proficiency in MS Office (Word, Excel, PowerPoint), Google Workspace, and email handling.
  • Knowledge of office management tools and practices.

  • Problem-solving attitude and ability to work independently.
  • Flexible, reliable, and proactive in managing multiple tasks.
  • Familiarity with Delhi-based vendors and service providers.
