An exciting opportunity for a seasoned Administration & Facility Management professional with 12+ years of experience managing large-scale corporate operations. This role is ideal for someone who has successfully handled facilities and administration for employee bases of 3000+ and thrives in high-volume, fast-paced environments. If you are skilled in facilities oversight, vendor management, team leadership, and creating a seamless workplace experience, this position offers a chance to lead at scale and drive operational excellence.
1. Planning and coordinating office installations, refurbishments and fit-outs (telecom, electrical, HVAC etc.).
2. Managing upkeep of equipment, facilities and supplies while ensuring adherence to health and safety standards.
3. Supervising on-site facilities teams and external contractors across custodial, technical, security and grounds functions.
4. Controlling activities including parking allocation, waste management, building security and access control.
5. Optimizing and allocating workspace according to business requirements.
6. Managing vendor contracts, SLAs, insurance and evaluating performance for cost and service efficiency.
7. Tracking utilities and implementing cost-reduction initiatives.
8. Maintaining accurate administrative and facility records, budgets and reports.
9. Acting as the primary escalation and emergency response contact, available for out-of-hours support.
10. Supporting senior management with administrative projects and cross-functional coordination.
1. 15+ years of experience in administration or facilities management within large corporate environments.
2. Experience managing operations for organizations with 3000+ employees.
3. Strong understanding of facilities management processes, standards and technical operations.
4. Proven vendor management, negotiation and stakeholder coordination skills.
5. Proficiency in MS Office with strong analytical and reporting capabilities.
6. Ability to manage urgent and emergency situations effectively.
7. Strong communication, leadership and people-management skills.
8. Diploma/Graduate in Facility Management, Engineering, Business Administration or related fields preferred.
