Job Description

At Framed, we don’t just create visuals — we create experiences.
This role is designed for someone who thrives at the intersection of people, processes, and creative energy. You’ll be the backbone that keeps our operations seamless, our clients cared for, and our team supported.

If you’re someone who loves structure but can navigate creative chaos with a smile — this seat is yours.

What You’ll Own (Key Responsibilities)

Client Relationship Management

  • Serve as the primary point of contact for clients, ensuring clarity, trust, and smooth communication throughout each project.
  • Respond promptly and professionally to client inquiries, sharing accurate updates and addressing concerns with empathy.
  • Share project data, gather feedback from clients, and ensure all relevant updates are communicated to internal teams.
  • Maintain a calendar of client milestones, sending personalised greetings and thoughtful touchpoints to strengthen long-term relationships.

Project Coordination

  • Collaborate with photographers, videographers, editors, and creative stakeholders to plan and execute shoots efficiently.
  • Schedule and coordinate photo and video shoots based on client requirements and team availability.
  • Track ongoing project timelines, ensuring deliverables meet quality standards and deadlines.
  • Identify issues early, manage changes in project scope, and keep both clients and internal teams aligned.

Human Resource Management

  • Oversee core HR functions: recruitment, onboarding, offboarding, and employee experience.
  • Work with hiring managers to draft job descriptions and publish job postings across platforms.
  • Source, screen, and interview candidates, offering recommendations for the final hiring decisions.
  • Manage payroll, leaves, benefits, and HR documentation, ensuring compliance with company policies.
  • Address employee relations concerns, mediate conversations, and support performance management processes.
  • Actively nurture our culture — creative, collaborative, positive, and growth-driven.

Documentation & Operations

  • Maintain all key operational documents — project timelines, task sheets, shoot plans, and resource allocation trackers.
  • Organise and update project files for easy team access and workflow efficiency.
  • Assist with preparing contracts, proposals, and invoices for clients.
  • Track expenses, maintain logs, and support financial coordination with the management team.

Who You Are (Requirements)

  • Bachelor’s degree in HR, Business Administration, or a related field.
  • Proven experience in project coordination, client management, and HR functions — experience in the event/media/production industry is a strong plus.
  • Strong understanding of HR principles, labour laws, and people processes.
  • Exceptional communication skills — written, verbal, interpersonal.
  • Highly organised with excellent multitasking abilities.
  • Comfortable with project management tools, HRIS platforms, and the full MS Office Suite.
  • A natural problem-solver with a high level of ownership and attention to detail.
  • Able to work both independently and collaboratively in a fast-paced creative environment.
  • Quality-focused, reliable, and committed to delivering a premium experience to clients and team members alike.
