Job Summary:The Admin Executive will provide comprehensive administrative and clerical support to the Geology Department. The role involves coordinating department activities, maintaining documentation, assisting in project logistics, and ensuring smooth day-to-day operations to support geological surveys, research, and fieldwork.Key Responsibilities:Maintain and organize departmental records, reports, and project files.Assist in preparing geological reports, presentations, and other documentation.Coordinate meetings, field trips, and logistics for geological teams.Manage inventory of geological tools, equipment, and samples.Handle correspondence (emails, memos, notices) related to the Geology Department.Support budgeting activities by maintaining expense records and assisting with procurement requests.Liaise with internal departments and external vendors for supplies and services.Ensure timely submission of statutory and compliance documents, if any, related to geological projects.Assist geologists with data entry, formatting of reports, and compilation of technical documents.Manage travel arrangements and accommodation for fieldwork activities.Maintain confidentiality and ensure data security for sensitive geological information.Perform other administrative tasks as assigned by the Manager or Head of Department.Key Skills and Competencies:Strong organizational and multitasking abilities.Good written and verbal communication skills.Proficiency in MS Office (Word, Excel, PowerPoint).Basic understanding of geological terminology (preferred).Attention to detail and high level of accuracy.Ability to handle field and office coordination.Qualifications:Bachelor’s degree in Business Administration, Office Management, or a related field.Additional certification in Office Administration will be an advantage.Prior experience (1–3 years) in an administrative role, preferably in an engineering, mining, or geology-related environment.Tips: Provide a summary of the role, what success in the position looks like, and how this role fits into the organization overall.
