Admin & Front Office Executive – Job Description

Position: Admin & Front Office Executive
Department: Clinic Operations
Reports to: Clinic Manager / Medical Director

Key Responsibilities

Front Office (Patient Care & Hospitality):

  • Greet and assist patients & visitors, ensuring a premium hospitality experience.
  • Manage patient registration, appointment scheduling, and follow-ups.
  • Handle calls, WhatsApp, email, and social media inquiries promptly.
  • Coordinate patient flow with doctors, nurses, and treatment rooms.
  • Manage billing, invoicing, payment collection, and receipts.
  • Maintain the reception and waiting lounge to BM Elite luxury standards.
  • Ensure confidentiality and professional handling of patient data.

Administration (Back-End Operations):

  • Monitor staff attendance, leave records, and duty rosters.
  • Coordinate with vendors, suppliers, and facility service providers.
  • Maintain statutory documents, licenses, renewals, and compliance files.
  • Handle petty cash, track clinic expenses, and assist with monthly accounts.
  • Maintain inventory of consumables, office supplies, and treatment materials.
  • Prepare daily/weekly reports for management.
  • Assist in HR support — onboarding, contracts, and communication.
  • Ensure smooth day-to-day operations by following clinic SOPs.

Required Skills

  • Strong communication (English + Tamil; Hindi is an advantage).
  • Polished grooming and patient-centric hospitality mindset.
  • Proficiency in MS Office, appointment/CRM software.
  • Ability to multitask and manage both patient care & admin responsibilities.
  • Problem-solving ability and attention to detail.

Qualifications

  • Graduate in any discipline (Business Admin / Hospitality / Healthcare preferred).
  • 2–4 years’ experience in clinic, hospital, or luxury hospitality front desk.

Job Types: Full-time, Permanent

Pay: ₹18,000.00 - ₹30,000.00 per month
