Job Description

Key Responsibilities:

Vendor & Production Management

Follow up with vendors for production updates and quality checks.
Prepare and issue supplier Purchase Orders (POs) accurately and on time.
Maintain continuous communication with suppliers to ensure on-schedule delivery and adherence to specifications.
Conduct supplier visits, when necessary, to review product quality and finishing.

Quotation & Documentation

Prepare detailed
BOQs (Bill of Quantities)
based on project requirements.
Prepare accurate and competitive
quotations
as per client BOQs.
Coordinate with the sales team for quotation submission, order confirmation, and any revisions.
Maintain proper documentation for all purchase and sales-related activities.

Client Coordination

Coordinate directly with clients for material, fabric, and color selection and confirmation.
Visit client sites for
fabric, swatches, and color confirmation
as required.
Obtain client approval for designs, drawings, and finishing details.
Provide regular updates to clients regarding order progress, delivery timelines, and installation schedules.

Internal Coordination

Coordinate with the
sales team
for order processing and client requirements.
Work closely with the
accounts team
for supplier payments, invoicing, and credit management.
Liaise with the
logistics team
for dispatch planning, shipment tracking, and delivery schedules.
Collaborate with the
back office team
for documentation, reporting, and administrative support.

Reporting & Analysis

Maintain detailed records of purchase orders, supplier performance, and cost comparisons.
Prepare periodic reports on procurement status, material cost trends, and vendor performance.
Ensure data accuracy and efficiency through strong use of Excel and related software tools.
