Job Description

Role & responsibilities

Tender & Bid Management

  • Search, review, and track tenders on GeM, CPPP, e-procurement portals, and OEM sites.
  • Prepare and submit technical and financial bids as per tender terms and compliance formats.
  • Coordinate with OEMs, suppliers, and internal teams for quotations, BoQs, datasheets, and authorization letters.
  • Ensure all tender documentation (EMD, BG, certificates, declarations, profiles) is accurate and up to date.
  • Monitor tender status, corrigendum, bid openings, and coordinate during technical/commercial evaluations.

Accounts & Finance

  • Handle day-to-day accounting entries in

    Tally ERP

    including sales, purchase, receipts, payments, and journals.
  • Maintain accounts payable and receivable, follow up on payments, and update ledger reconciliations.
  • Prepare sales invoices, purchase orders, credit notes, and maintain proper filing of financial documents.

GST & Taxation

  • Prepare and file

    GST returns (GSTR-1, GSTR-3B, reconciliation)

    on time.
  • Manage GST input/output records and ensure proper compliance with taxation rules.
  • Assist in TDS/TCS calculations, entries, and return filing.
  • Maintain vendor-wise GST documentation, and coordinate during audits or assessments.

Commercial & Back-Office Support

  • Prepare commercial offers, cost sheets, price comparisons, and customer quotations.
  • Maintain tender MIS, sales reports, and documentation for audits and internal reviews.
  • Liaise with purchase, logistics, and finance teams for dispatch, billing, and order processing.
  • Support management with data preparation, letters, official documents, and correspondence.

Preferred candidate profile

  • Qualification:

    Graduate or Post-Graduate in Commerce (B.Com / M.Com), Business Administration, or related field.
  • Experience:

    14 years of experience in

    Tendering, Bid Management, Documentation, Accounts, GST, Tally, and Billing

    . Experience in Government e-Marketplace (GeM) and e-procurement portals will be preferred.
  • Technical Skills:

  • Proficiency in

    Tally ERP

    , MS Excel, MS Word, and PDF tools.
  • Strong knowledge of

    GST, TDS, Billing, Invoicing, and Vendor Registration

    .
  • Ability to prepare

    Tender Documents, Financial Bids, Price Quotations, and BOQ

    .
  • Familiarity with government tender portals (CPP, GeM, State e-tender portals).
  • Professional Skills:

  • Excellent verbal & written communication skills.
  • Strong analytical, numerical, and documentation skills.
  • Ability to coordinate with clients, OEMs, vendors, and internal teams.
  • Detail-oriented, deadline-driven, and capable of handling multiple tasks.
  • Personal Attributes:

  • Highly organized and disciplined in maintaining records.
  • Positive attitude with a willingness to learn new tools & processes.
  • Team player with the ability to work independently when required.
  • Strong ethical conduct and confidentiality with financial data.
  • Other Requirements:

  • Candidates from IT / Networking / Infrastructure domain will be an added advantage.
  • Preference for candidates with prior exposure to tendering in government projects.
