Job Summary: The HR Generalist - Onboarding & Documentation is responsible for managing the end-to-end onboarding process, ensuring new hires have a smooth transition into the organization. This role involves handling various HR administrative tasks, ensuring compliance with company policies, and maintaining accurate and up-to-date documentation. The HR Generalist will also collaborate with the broader HR team to ensure all employees are effectively integrated and all required documentation is complete and accurate. Onboarding: Lead and coordinate the full onboarding process for new employees, from offer acceptance through to first day and beyond. Develop and improve the onboarding experience to ensure new hires feel welcomed, valued, and informed. Prepare and provide new hire packets including offer letters, benefits documentation, company policies, and training schedules. Conduct new hire orientations, introducing company culture, benefits, and compliance regulations. Act as a point of contact for new employees during their onboarding period, answering questions and providing guidance as needed. Collaborate with department heads to schedule and organize role-specific training and resources. Documentation & Compliance: Ensure all new hire paperwork is completed and compliant with state and federal regulations, including I-9 forms, tax forms, confidentiality agreements, and any other necessary documentation. Maintain employee records and files, ensuring that documentation is up-to-date and easily accessible in compliance with privacy laws and company policy. Track and manage documentation related to employee leave requests, benefits enrollments, performance reviews, and disciplinary actions. Work with the HR team to audit employee files regularly and ensure proper retention practices. Assist with employee data management and report generation as needed for audits or internal assessments. HR Administrative Support: Provide administrative support to the HR department by scheduling interviews, meetings, and training sessions. Assist with maintaining HR software and employee databases to ensure accurate records. Support HR team with other functions such as performance management, employee relations, and benefits administration as needed. Act as a liaison between employees and HR to facilitate communication and resolve inquiries regarding benefits, policies, and procedures. Process Improvement & Best Practices: Continuously evaluate and suggest improvements to the onboarding process to enhance new employee experience. Stay current with HR best practices, labor laws, and industry trends to ensure the company remains compliant and competitive in talent acquisition and retention efforts. Maintain up-to-date knowledge of HRIS systems and technology to streamline onboarding processes and data management.
