Job Description

Your Tasks

Administrative & Executive Support

  • Manage the secretariat, supporting two managers simultaneously to ensure seamless office organization.
  • Assist and relieve managers in daily tasks, including creating and revising agendas, preparing presentations, and compiling business documents.
  • Manage executive email inboxes, track important topics, follow up on key issues, and independently handle selected tasks.
  • Handle calendar and appointment management for executive leadership.

Meeting & Event Coordination

  • Prepare and follow up on meetings, discussions, and multi-day management meetings, ensuring all necessary materials and logistics are in place.
  • Organize and coordinate internal and external meetings to ensure smooth execution.
  • Independently plan and manage corporate events.

Travel Management

  • Plan, book, and organize domestic and international business trips.
  • Handle post-trip activities such as preparing travel expense reports and follow-ups.

Project Coordination

  • Create and edit presentations, reports, and business documents.
  • Support cross-departmental collaboration on special topics and internal sustainability projects.

Communication & Stakeholder Management

  • Act as a point of contact for business partners, clients, and internal teams globally.
  • Handle professional correspondence in English.

Your Qualifications

  • Proven experience as a Personal Assistant, Executive Assistant, or Administrative Coordinator, preferably supporting executive leadership.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other digital tools.
  • Excellent written and verbal communication skills in English.
  • Ability to work independently, manage confidential information, and prioritize tasks efficiently.
  • Experience with project coordination.
  • Bachelor’s degree in Business Administration, Management, or a related field is preferred.
