Overview

The Sr. Manager Administration & Facility will lead and streamline administrative and facility operations across all VBF high-performance environments. This includes athlete hostels, training centres, sports venues, accommodation units, offices, and event sites. The role is central to ensuring a professional, athlete-centric, safe, and operationally efficient ecosystem that supports VBF’s sporting outcomes and community programmes.

Key Responsibilities

A. Administration Management

  • Oversee end-to-end administration across training centres, hostels, sports facilities, residential units, and offices.
  • Develop and enforce sport-specific admin SOPs, protocols, and operational standards.
  • Manage asset inventory, equipment tracking, consumables, office supplies, and procurement coordination.
  • Ensure documentation, records, certifications, and compliance with VBF guidelines.
  • Oversee transport, travel, and logistics support for staff, athletes, coaches, and visiting officials.

B. Facility & Athlete Accommodation Management

  • Ensure smooth daily operations of athlete hostels, staff quarters, guest accommodation, and sports residential units.
  • Maintain high standards of cleanliness, discipline, and safety aligned with high-performance sport environments.
  • Conduct regular inspections to ensure readiness of training spaces, recovery areas, common zones, and living facilities.
  • Coordinate with maintenance providers for timely repairs and upkeep.
  • Implement preventive checks, emergency response protocols, and incident reporting systems.
  • Oversee space allocation, seating plans, and infrastructure setup during camps and tournaments.

C. Vendor & Contract Management

  • Manage vendors for housekeeping, security, catering, laundry, transport, events, and facility services.
  • Lead contract negotiations and performance reviews.
  • Ensure service quality, hygiene norms, and SLA adherence.

D. Compliance, Safety & Sport Operational Readiness

  • Ensure statutory and safety compliance across facilities.
  • Oversee access control, CCTV, fire safety, and emergency preparedness.
  • Conduct safety audits and readiness checks before events or camps.

E. Team Leadership

  • Lead Admin, Facility and Logistics teams.
  • Monitor discipline, routines, and standards inside hostels.
  • Drive training, development, and a service-oriented culture.

F. Stakeholder Coordination

  • Coordinate with HR, Finance, Sports Science, Coaching, Operations, and external authorities.
  • Support new site development and expansion projects.

G. Travel, Camps & Logistics

  • Oversee Travel Desk operations for athletes, coaches, staff, and visitors.
  • Manage travel bookings for competitions, camps, and events.
  • Maintain itineraries, approvals, and documentation.
  • Coordinate logistics for tournaments, high-performance testing, and equipment movement.

Qualifications & Experience

  • Graduate/Post-Graduate in Sports Management, Administration, or related fields.
  • Minimum 7 years of experience in administration, facility management, or sports operations with sports hostels, training centres, or athlete management preferred.
