Role & responsibilities

About the Role Were looking for a detail-oriented and proactive Admin Executive to manage day-to-day office operations and ensure smooth workplace functioning. Youll play a key role in supporting teams, coordinating with vendors, and maintaining a professional, efficient, and engaging office environment for a growing Fintech organization.

Key Responsibilities

Office & Facility Management

  • Oversee day-to-day office operations, housekeeping, pantry, and facility upkeep.
  • Manage office supplies, inventory, and procurement for IT and non-IT assets.
  • Coordinate maintenance of office equipment, utilities, and building facilities.
  • Ensure a safe, secure, and compliant workplace in line with company policies

  • Vendor & Procurement Coordination
  • Handle vendor identification, negotiations, and purchase orders.
  • Maintain vendor contracts, AMCs, and service level agreements.
  • Track and process invoices, payments, and administrative budgets.

  • Employee Support & Event Coordination
  • Support onboarding logistics desk setup, ID cards, seating allocation, etc.
  • Assist in planning company events, celebrations, and employee engagement activities.
  • Coordinate travel and accommodation bookings for employees and guests.

  • Compliance & Record Keeping
  • Maintain administrative documentation — agreements, licenses, and vendor records.
  • Support audits, renewals, and compliance processes for office operations.
  • Ensure confidentiality and data protection in administrative handling.

Preferred candidate profile

4-7 years of experience in office administration, facilities, or operations.

Experience working in a corporate or tech/startup environment preferred.

Strong organizational, coordination, and multitasking skills.

Excellent communication (verbal & written) and vendor management skills.

Proficiency in MS Office / Google Workspace tools.

Hands-on, proactive approach with attention to detail and accountability.
