Job Description

Overall Purpose of the Role:

To manage procurement activities, maintain supply chain efficiency, and support the administrative functioning of the school by ensuring timely availability of required resources (stationery, furniture, lab equipment, etc.), while maintaining cost control and quality standards.

Key Responsibilities: Procurement & Purchasing Duties:

  • Identify school requirements for goods and services in coordination with department heads.
  • Source and evaluate suppliers/vendors for competitive pricing and quality.
  • Obtain quotations, prepare purchase orders, and negotiate terms with vendors.
  • Maintain accurate purchase records and ensure documentation is complete.
  • Monitor delivery schedules and ensure timely supply of items.
  • Coordinate with accounts department for timely payments and invoice reconciliation.
  • Inventory & Stock Management:
  • Maintain and update school inventory of supplies, equipment, and materials.
  • Ensure stock levels are adequate to meet the needs of classrooms, labs, and offices.
  • Oversee storage areas and monitor proper use and care of materials.
  • Conduct periodic physical verification of stock and reconcile with records.

Vendor & Contract Management:

  • Develop and maintain strong vendor relationships.
  • Ensure that contracts for services (e.g., transport, canteen, security, housekeeping) are current and comply with legal and safety standards.
  • Evaluate vendor performance and ensure adherence to school policies.

Administrative and Executive Support:

  • Assist the school management in preparing budgets related to procurement.
  • Help in organizing school events by arranging necessary materials and services.
  • Support maintenance and repair work by liaising with vendors and service providers.
  • Maintain documentation and records related to procurement, assets, and expenditures.

  • Basic accounting and budgeting knowledge
  • Record-keeping and attention to detail
  • Proficiency in MS Office and inventory software
  • Time management and problem-solving
  • Ethical, organized, and reliable

Educational Qualifications:

  • Graduate in Business Administration / Commerce / Supply Chain Management
  • Additional certification in procurement or logistics is a plus

Job Type: Full-time

Pay: ₹10,500.00 - ₹20,000.00 per month
