Job Summary The Front Office Executive / Receptionist is the first point of contact for patients and visitors. This role combines excellent customer service with administrative duties: managing appointments, handling phone and email communications, maintaining patient records, coordinating billing and insurance tasks, and supporting the clinical team to deliver an outstanding patient experience. Key Responsibilities: Greet patients and visitors with a friendly, professional way; manage the reception area. Schedule, confirm, reschedule, and cancel appointments using the clinic’s practice management software. Answer multi-line phone system and respond to email and online inquiries promptly and professionally. Register new patients and update existing patient demographic and medical information. Verify patient insurance eligibility and benefits; collect co-pays and process payments (cash, card, mobile payments). Prepare, issue, and reconcile invoices and receipts; assist in basic bookkeeping and daily cash reconciliation. Maintain and file patient records, ensuring confidentiality and compliance with applicable privacy regulations. Coordinate with clinical staff to manage patient flow and reduce wait times. Assist with patient recall and follow-up calls (treatment reminders, post-op follow-ups, appointment reminders). Manage office supplies, order replenishments, and ensure an organized front-desk environment. Handle basic administrative tasks: scanning, faxing, emailing referrals, sorting mail. Escalate patient concerns or complex issues to the Office Manager or Clinical Lead; maintain professionalism during conflict resolution. Support marketing and patient experience initiatives (e.g., patient feedback collection, social media appointment prompts) as requested. Required Qualifications: 10th / 12th / Any Degree 0–3 years of experience. Skills & Competencies: Basic English verbal and written communication skills Time management
