Role Overview

Receptionist & Executive Assistant

Key Responsibilities

Reception & Front Office Management

  • Serve as the first point of contact for visitors, clients, and employees.
  • Manage the reception desk, answer incoming calls, and route them appropriately.
  • Handle visitor management, including security sign-ins, hospitality, and meeting room coordination.
  • Ensure reception area, meeting rooms, and common areas are well-presented and professional at all times.
  • Coordinate couriers, mail distribution, and other office-related services.

Executive Assistant Responsibilities

  • Provide comprehensive administrative support to senior leadership (calendar management, travel planning, meeting coordination).
  • Draft, review, and manage correspondence, reports, and presentations on behalf of executives.
  • Manage scheduling, prioritize appointments, and ensure leaders are well-prepared for meetings.
  • Assist in confidential matters requiring discretion and sound judgment.
  • Coordinate internal and external meetings, workshops, and events.
  • Follow up on action items, project deadlines, and ensure timely completion.

General Administration Support

  • Maintain office supplies, stationery, and vendor coordination as required.
  • Assist with HR and administrative tasks, such as new employee onboarding support and record management.
  • Support in organizing company events, employee engagement activities, and other cross-functional projects.

Qualifications & Skills

  • Graduate in any discipline; certification/diploma in office administration is an advantage.
  • 2-5 years of experience in a Receptionist / Executive Assistant / Administrative role.
  • Strong organizational, time management, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • High degree of professionalism, confidentiality, and interpersonal skills.
  • Ability to work independently and under pressure in a fast-paced environment.
