Job Description

. Position Summary

The Purchase Officer is responsible for sourcing, negotiating, and procuring materials, equipment, and services required for company operations and projects. The role ensures timely supply, cost efficiency, vendor quality, and compliance with company procurement policies.

2. Key Roles & Responsibilities

A. Procurement & Material Sourcing

  • Identify, evaluate, and source materials as per project and departmental requirements.
  • Obtain price quotations, prepare comparison sheets, and finalize vendors.
  • Maintain vendor product knowledge, specifications, and availability.
  • Ensure materials meet required quality and standards.

B. Purchase Order (PO) Management

  • Prepare and issue Purchase Orders in ERP/Tally as per approved indent.
  • Track PO status, delivery timelines, and follow up with vendors.
  • Ensure accurate documentation—PO, quotation, GRN, invoice, and delivery challan.

C. Vendor Management

  • Develop and maintain strong relationships with suppliers, manufacturers, and service providers.
  • Conduct regular vendor evaluation based on pricing, quality, delivery, and service.
  • Negotiate best rates, terms, and credit periods.

D. Coordination With Internal Departments

  • Coordinate closely with Project Team, Stores, Accounts, and Planning departments.
  • Verify material requirements and ensure timely delivery to sites.
  • Assist Accounts in invoice matching, GRN check, and vendor payment processing.

E. Cost Control & Budgeting

  • Monitor purchase costs and ensure procurement within approved budgets.
  • Identify and implement cost-saving strategies.
  • Track price fluctuations in the market for key materials.

F. Documentation & Reporting

  • Maintain vendor database, rate contracts, PO records, and purchase registers.
  • Prepare daily, weekly, and monthly purchase MIS reports.
  • Support internal and external audits with required purchase documentation.

3. Skills & Competencies Required

  • Strong negotiation and communication skills
  • Good understanding of procurement processes
  • Basic knowledge of construction materials (if infra-based)
  • Proficiency in MS Excel, Tally, ERP systems
  • Strong follow-up and coordination skills
  • Ability to work under deadlines

Job Types: Full-time, Permanent

Pay: ₹20,000.00 - ₹25,000.00 per month
