As a Purchase and Administration Officer at our organization, your primary role will involve managing various administrative tasks and overseeing the procurement process. Here is a breakdown of your key responsibilities: **Role Overview:** You will be responsible for handling administrative duties and procurement activities at our organization. Your role will involve ensuring smooth office operations and efficient procurement processes. **Key Responsibilities:** - Manage office supplies stock, place orders, and conduct periodical stock verification. Additionally, oversee day-to-day housekeeping activities. - Coordinate travel arrangements and accommodations as needed. - Schedule and organize both in-house and external events. - Book meeting rooms and auditoriums as required, along with arranging vehicles based on specific needs. - Coordinate building and maintenance issues, including general repairs, civil work, electrical work, and construction projects. - Conduct monthly visits to branch locations to address issues and enhance operational systems. - Establish and maintain a filing system for important company documents, ensuring confidentiality. - Oversee annual maintenance contracts for vehicles, air conditioners, CCTV systems, medical equipment, and other assets. - Manage the disposal or selling of old vehicles and equipment, renew staff insurance, and handle scrap disposal regularly. - Calculate TA/DA and overtime for staff members and organize staff meetings to address grievances. - Supervise fixed assets management, archival processes, and record-keeping activities. - Ensure regular maintenance and repair of two-wheelers and four-wheeler vehicles. In terms of procurement responsibilities: - Conduct product research and identify new suppliers and vendors. - Source materials, goods, products, and services while negotiating cost-effective contracts. - Maintain records of all orders, advances, and received invoices. - Build professional relationships with clients, vendors, and suppliers. - Manage import and export procedures and handle any litigations related to purchases. - Receive purchase requests, conduct market surveys, obtain approvals, compare quotes, and execute purchase orders. - Monitor the purchase of fixed assets and supervise all purchase procedures across departments. - Maintain a comprehensive database of all vendors for future reference. Your qualifications and skills should ideally include: - A bachelor's degree in business, logistics, or a related field. - Previous experience in a similar role. - Proficiency in relevant management software programs. - Excellent written and verbal communication skills. - Strong negotiation abilities. - Exceptional organizational and planning skills. - Ability to make decisions in high-stress environments. - Excellent networking and time management skills.
