Job Description

We are looking for a Publishing Coordinator for our client place based at Gurgaon, Haryana. This position and role will involve understanding the basics of book production including logistics aspects, managing administrative tasks including paperwork, purchase orders, downloading and organising files, preparing reports, and creating presentations (when required).


Roles & Responsibilities:-


Documentation and Paperwork:-

  • Maintain accurate records and documentation related to production activities.
  • Ensure on-time filing of all required paperwork.
  • Liaise with internal departments for approvals and signatures.


Purchase Orders and invoices from vendors:-

  • Prepare and process purchase orders as per production requirements.
  • Track and follow up on approvals, deliveries, and invoices.
  • Coordinate with internal teams whenever necessary


File Management for print and eBooks:-

  • Download, organise, and archive production-related files.
  • Ensure file naming and storage protocols are followed.


Reports and Presentations:-

  • Collect and compile production data for daily, weekly, and monthly reports.
  • Prepare PowerPoint presentations for internal reviews and meetings, whenever required.


Administrative Support:-

  • Assist with meeting coordination, and other administrative tasks as needed.
  • Follow up for pending tasks and checking up on logistics schedules.
  • Support the production team in tracking deadlines and deliverables.


Education & Other Skills:-

  • 1–3 years of experience in a similar admin role (preferred).
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint).
  • Strong organisational and time-management skills with a can-do attitude.
  • Good communication and inter-personal skills.
  • Ability to work independently and multi-task with good prioritisation skills.
