Job Responsibilities – Project Coordinator cum Admin 🔹 1. Project Coordination with Clients Act as the primary point of contact between the company and clients for ongoing and new projects. Understand client requirements and ensure timely delivery of project milestones. Coordinate with internal teams (design, development, marketing, etc.) to execute project plans. Schedule client meetings, share updates, take feedback, and ensure client satisfaction. Maintain detailed documentation of project progress, status reports, and communications. 🔹 2. Vendor Coordination & Tie-ups Identify, approach, and onboard suitable third-party vendors as per project needs. Maintain strong relationships with vendors, freelancers, and service providers. Negotiate terms, rates, and service timelines with external vendors. Ensure vendor services are delivered on time, within budget, and meet quality expectations. Maintain and update a database of approved vendors and service agreements. 🔹 3. Administrative Support Handle day-to-day administrative tasks including office supplies, facility management, and maintenance. Coordinate with HR or accounts for employee attendance, travel arrangements, and petty cash expenses. Ensure smooth functioning of office operations (e.g., courier handling, inventory, IT support calls). Maintain company documents, agreements, and internal logs (project sheets, vendor files, etc.). Assist management in coordinating company events, meetings, or internal communications. 🔹 4. Reporting & Documentation Prepare and submit daily/weekly reports on client project status, vendor activities, and admin tasks. Maintain accurate and organized digital and physical records. Highlight potential project risks, delays, or vendor issues proactively. 🔹 5. Miscellaneous Duties Be available for urgent coordination outside working hours if required. Perform other tasks assigned by senior management related to project execution or office operations. 📌 Required Skills Strong communication & coordination skills Good command over MS Excel, Google Sheets, and email tools Ability to multitask and manage deadlines Basic knowledge of vendor management and office operations
