About Role -

We are looking for an experienced PMO Manager to establish a Project Management Office in collaboration with our Agency Head of Operations. The role includes designing PMO framework, implementing standard processes, leading offshore team and driving operational efficiency across the Agency.

Responsibilities
  • Collaborate with the Head of Operations to establish the Project Management Office (PMO).
  • Define and implement standardized processes for project tracking, reporting, and resource allocation.
  • Support the development of a scalable operational model to enable growth and tool integration.
  • Deploy tools like Microsoft Lists, SharePoint, and Power BI for real-time tracking and reporting.
  • Lead offshore team in executing operational activities effectively.
  • Facilitate the transition from fixed fee to T&M billing, ensuring accurate tracking and profitability.
  • Coordinate with cross-functional teams for consistent project delivery across geographies.
  • Establish efficient resource management practices to meet client needs swiftly.
  • Ensure optimal resource deployment across projects.
  • Drive change management initiatives across the organization.
  • Monitor and report project health, milestones, and delivery status to stakeholders.
  • Develop and maintain PMO dashboards to provide leadership with actionable insights and KPIs.
  • Conduct regular project audits and retrospectives to identify areas for continuous improvement.
  • Mentor and train project coordinators and junior PMs on best practices and tools.
  • Implement risk management frameworks to proactively identify and mitigate project risks.
  • Standardize documentation practices to ensure consistency and compliance across all projects.
  • Foster a culture of accountability and transparency through structured governance and reporting.
  • Collaborate with finance and leadership teams to align project budgets with strategic goals.
  • Drive automation initiatives to reduce manual effort and improve operational efficiency.

You will be working closely with:

Works closely with the Head of Operations, as well as Project, Program, Portfolio Managers and Finance stakeholders, to standardize project tracking processes, support accurate and timely billing, and contribute to driving operational efficiency across teams and functions.

Qualifications
  • Bachelor’s or Master’s degree in a relevant field.
  • 10–12 years of experience in PMO and project/portfolio management.
  • Proven track record in operations management with strong understanding in pricing models and billing.
  • Hands-on experience with project management tools such as Microsoft Lists and Power BI.
  • Demonstrated ability to standardize processes and lead change across diverse teams.
  • Excellent communication, stakeholder engagement, and presentation skills.
  • Analytical mindset with the ability to compare planned vs. actual performance and generate actionable insights.
  • Familiarity with resource planning and utilization tracking.
  • Experience working in matrixed organizations with multiple clients and cross-functional teams.
