Job Description

As a Personal Assistant to the Director, your primary responsibility will be to effectively manage the Director's daily schedule, ensuring all meetings, calls, events, and deadlines are coordinated seamlessly. You will be required to handle communication on behalf of the Director with professionalism and confidentiality, including screening and responding to emails, messages, and calls. In addition, you will play a crucial role in meeting coordination by scheduling appointments, preparing agendas, taking minutes, and following up on action items for both internal and external meetings. Travel and logistics management will also be part of your duties, involving the organization of domestic and international travel arrangements such as flights, accommodation, transport, and itineraries. Furthermore, you will be responsible for drafting reports, presentations, proposals, and internal communications while maintaining proper filing and documentation systems. Acting as a liaison between the Director and various internal departments, clients, and stakeholders will be essential. You will also provide project assistance by tracking timelines, deliverables, and updating the Director on progress. Occasional personal errands or tasks for the Director may be required. To excel in this role, you must have proven experience as a Personal Assistant or Executive Assistant, preferably in an advertising, media, or creative agency. Strong organizational and multitasking abilities, excellent communication skills, proficiency in Microsoft Office Suite, Google Workspace, and task management tools are necessary. Discretion, confidentiality, independence, and the ability to work under pressure in a fast-paced environment are also key qualities. A Bachelor's degree in Business Administration, Communications, or a related field is preferred. Bonus skills include familiarity with advertising/media industry lingo and workflows. This is a full-time, permanent position based in Jangpura, Delhi, requiring daytime availability. Benefits include cell phone reimbursement, leave encashment, and a yearly bonus.
