Role Overview
The Peer Review Associate is responsible for managing the end-to-end peer review process for assigned journals, ensuring timely and accurate handling of manuscripts in accordance with Sage standards. This role requires strong organizational skills, attention to detail, and effective communication with editors, authors, reviewers, and internal teams.
Key Responsibilities
Peer Review Management
- Review submitted manuscripts to ensure compliance with submission criteria and readiness for the Sage Track system.
- Invite, assign, and assist reviewers; follow up with editors, associate editors, reviewers, and authors to ensure tasks are completed within defined deadlines.
- Ensure authors of accepted manuscripts complete and submit electronic contributor forms via Sage Track.
- Verify accepted manuscripts for completeness before export to the Sage Production team, including:
- Updated author contact information
- Editable file formats
- Permissions for copyrighted material
- References conforming to appropriate style (APA, Chicago, ASA, AMA, CSE, etc.)
- Export accepted manuscripts to the Sage Production Editor within specified deadlines.
- Respond promptly and professionally to queries from editors, authors, reviewers, and Sage staff.
- Maintain and update Sage Track email templates as needed.
- Oversee peer review health for journals with Editorial Assistant support, including troubleshooting, managing editor relationships, and providing guidance.
- Complete and maintain daily task trackers and share weekly performance reports with the Peer Review Supervisor and Manager.
- Run periodic reports from Sage Track and update overdue task reports before weekly meetings.
- Troubleshoot and ensure Sage Track sites function properly and remain aligned with global standards.
Communication & Liaison
- Act as the primary point of contact between journal editors and Sage for peer review updates and progress.
- Communicate Editorial Board updates to the Publishing and Production Editors.
- Escalate tense or volatile communications to the supervisor and share positive feedback when received.
- Respond to email inquiries within 24 hours (excluding weekends and holidays).
Team Support
- Provide assistance to peer review team members as needed.
- Participate in projects, committees, or task forces as assigned.
- Contribute ideas and feedback to improve processes.
Skills, Qualifications & Experience
- Education: Bachelor’s degree or equivalent in business or related field.
- Technical Skills: Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
- Knowledge: Thorough understanding of peer review processes and systems.
- Communication: Excellent written and verbal communication skills.
- Other: Strong organizational and problem-solving abilities.
