About The Opportunity

Operating at the intersection of experiential marketing and visual design, our award-winning studio produces high-profile corporate events, brand activations, and immersive spaces across India and overseas. We combine end-to-end event production with in-house creative services, supporting Fortune 500 brands from concept through on-site execution. To keep our fast-moving Director focused on big-picture strategy, we are seeking a sharp, proactive Executive Assistant based in our Mumbai office.Role & Responsibilities
  • Act as primary gatekeeper for the Event & Design Studio Director — screen calls, manage inbox, and prioritize requests.
  • Own complex calendar planning, aligning creative reviews, vendor meetings, site recces, and client presentations across multiple time zones.
  • Coordinate domestic & international travel, accommodations, and on-site logistics for the Director and core production team.
  • Prepare pitch decks, mood boards, budgets, and status reports; ensure accurate documentation is archived in shared drives.
  • Liaise with clients, venue partners, fabricators, and internal leads to gather information and resolve issues ahead of deadlines.
  • Track action items, POs, and expense claims; flag overruns and drive follow-ups until closure.

Skills & Qualifications

Must-Have
  • 3+ years as Executive/Personal Assistant supporting C-level or Creative Director in events, media, or design environments.
  • Fluency in English & Hindi with polished business writing and client-facing etiquette.
  • Expert user of MS Office & Google Workspace; able to craft visually compelling PowerPoint or Keynote decks.
  • Demonstrated experience organizing multi-city events or productions, including vendor negotiations and budgeting.
  • Strong attention to detail, confidentiality, and ability to anticipate needs in fast-changing scenarios.

Preferred

  • Knowledge of project management tools such as Asana, Monday, or Trello and basic Adobe Creative Cloud.
  • Exposure to international freight, visas, and carnets for event assets.
