Offsite Production Specialist
The ideal candidate has a proven experiences in executing large scale events and activations across APAC; able to navigate the complexities of working in a diverse and complex region.
Joining our Technical Production team supporting Meta (Facebook), the ideal candidate will be part of the Technical Production team (Offsite) that provides end-to-end event production including technical coordination & oversight, presentation setup and support, AV/VC services, streaming, and vendor management.
The ideal candidate should have strong problem-solving skills, deep technical production knowledge in technical events execution, particularly with AVL setup and requirements, virtual event production, strong client management skills and discipline in administration & documentation.
Due to the fast-paced support and constantly changing environment, the Lead may be required to work some weekends and evenings to ensure the team is able to support operations. 50% travel may be required.
Job Responsibilities:
Operations – 50%
- Attend to assigned requests in a timely manner. (in accordance with SLAs and KPIs)
- Raise requests for ESE and/or SBS as necessary.
- Raise any technical rehearsals, speaker rehearsals Event Tickets and Triages it (for Virtual Events)
- Specify the technical specifications in support the scope defined by TP within an agreed timeline; not limited to signal flow schematics and equipment lists.
- Provide advice on vendor proposals & budgets, production schedules & technical documentation including but not limited to video signal flow schematics and equipment lists.
- Share minimum requirements from established standards.
- Develops execution plans against resourcing, critical project timelines and other logistical considerations and requests support from relevant internal teams where required.
- Coordinates access to venue services information & venue technical specification (Rigging, AV, Power, Network, Loading/Unloading, Access), floorplans and other documentation and draws up event requirements using CAD software.
- Follow up with Partners, Agency, xFN as necessary.
- Request for additional Tech assistance when necessary. (including engagement with Technical Production, TPG Eng, MVP teams and/or other auxiliary teams )
- Coordinates equipment transport logistics for events through leveraging internal hardware and logistics teams. (Setup & Recovery)
- Coordinates the delivery of production elements from Agency, FVP or otherwise.
- Escalates to Service Owner should there be any problems relating to scope, challenges, or budget.
- Travels to executes, manage & oversee Event including: Pre-Event Technical Checks; Rehearsals.
- Accounting for equipment post event including logistics requirement
Documentation – 35%
- Keeps production documentations (briefing notes, pre-production admin, run of show, technical checklist) updated in a timely and accurate manner.
- Updates calendar (including travel time, rehearsals etc), task & playbook as necessary.
- Upon completion to file PER including triggering of CSAT as appropriate. Includes Post-Mortem documentation. (5 Business Day)
- Produce Root Cause Analysis should there be a failure. (1 Business Day)
- Knowledge management and contribution to Service via SOPs and documentation.
- Contribute to Global Meetings sharing best practices and provide regional updates.
- Supports SDM and Regional Managers in reporting against SLAs and KPIs for MBRs and QBRs.
Administration – 15%
- Drives self-improvement through independent learning.
- Account for time spend through accurate logging of timesheet on a weekly basis.
- Adherence to other admin processes as appropriate.
- Book Travel and accommodation as necessary with the appropriate approvals and costs.
Qualifications / Skills:
- 3-5 years of working knowledge with audio visual equipment in a live event setting, demonstrating proficiency across audio, video, lighting and projection disciplines.
- Able to specify the technical specifications in support the scope defined within an agreed timeline; not limited to signal flow schematics and equipment lists.
- Able to develop execution plans against resourcing, critical project timelines and other logistical considerations and requests support from relevant internal teams where required, and within budget.
- To coordinate access to venue services information & venue technical specification (Rigging, AV, Power, Network, Loading/Unloading, Access), floorplans and other documentation and draws up event requirements using CAD software.
