Job Description

1. Job Summary

The Office Assistant will support day-to-day administrative activities, assist printing and production operations, coordinate logistics, handle courier tasks, and support purchase-related activities. The role ensures smooth workflow between departments and timely completion of operational tasks.

2. Key ResponsibilitiesA. General Office Administration

  • Maintain office cleanliness, stationery, and supplies.
  • Manage incoming and outgoing calls, emails, and visitor coordination.
  • Assist in preparing documents, quotations, work reports, and basic data entry.
  • Maintain filing systems (physical & digital) for bills, work orders, and client documents.
  • Support management in day-to-day office tasks and follow-ups.

B. Printing & Production Support

  • Coordinate job orders between designing, printing (digital, solvent, UV), and finishing teams.
  • Assist in monitoring job progress and update status to the operations team.
  • Help in arranging materials needed for printing, cutting, lamination, and fabrication.
  • Maintain job sheets, material usage data, and daily production logs.
  • Ensure timely dispatch of completed print jobs to clients or installation teams.

C. Logistics & Courier Coordination

  • Handle daily courier bookings (DTDC, Professional, Bluedart, etc.).
  • Maintain a log of all incoming and outgoing parcels.
  • Ensure proper packing and labeling before dispatch.
  • Coordinate with delivery partners for pickups and tracking of consignments.
  • Support in arranging vehicle transport, delivery schedules, and local material movement.

D. Purchase & Inventory Assistance

  • Assist the purchase department in collecting quotations and comparing prices.
  • Coordinate with suppliers for material orders, delivery status, and follow-ups.
  • Verify received materials with purchase orders (quantity, quality, and specifications).
  • Maintain inventory records for printing media, inks, accessories, and office supplies.
  • Inform management when stock levels are low and require replenishment.

E. Support for Field & Installation Teams

  • Arrange materials and tools for field installation teams.
  • Coordinate the movement of hoarding materials, frames, banners, and boards.
  • Maintain records of tools and materials issued and returned.
  • Assist in preparing job packets for installation work.

3. Required Skills & Qualifications

  • Minimum 1–2 years of experience in office administration or operations (printing industry preferred).
  • Basic knowledge of printing materials, machines, and production workflow is an added advantage.
  • Proficiency in MS Office (Excel, Word) and basic computer operations.
  • Good communication skills in English, Malayalam, and Hindi (optional).
  • Strong time-management, multitasking, and coordination abilities.
  • Ability to work in a fast-paced production environment.
