Logistics / Dispatch Executive

Job Summary:

The Logistics / Dispatch Executive will be responsible for managing dispatch operations and maintaining accurate inventory records. The role ensures timely delivery of materials, effective stock control, and smooth coordination between warehouse, transporters, and internal teams.

Dispatch & Logistics

• Plan and execute daily dispatches in line with approved sales orders.
  
• Coordinate with transporters, drivers, and warehouse personnel for smooth operations.
  
• Ensure timely loading, dispatch, and delivery of materials.
  
• Prepare, verify, and maintain dispatch documentation including Invoice, LR, E-way Bill, Packing List, etc.
  
• Track vehicle movement and confirm delivery status.
  
• Resolve delivery-related issues such as delays, shortages, or damages.
  

Stock Maintenance & Inventory Control

• Maintain accurate stock records for raw materials and finished goods.
  
• Update inward and outward stock entries in ERP systems or stock registers.
  
• Perform daily/weekly stock reconciliation between physical and system stock.
  
• Monitor minimum stock levels and notify management for timely replenishment.
  
• Identify stock variances, damages, and slow-moving inventory.
  
• Ensure proper stacking, labeling, and storage of materials.
  

Coordination & Reporting

• Coordinate with Production, Sales, and Accounts departments.
  
• Submit regular dispatch reports, stock statements, and Proof of Delivery (POD).
  
• Assist during internal and external audits by providing required records.
  

Required Skills & Competencies:

• Knowledge of logistics, dispatch operations, and inventory management.
  
• Familiarity with GST, E-way bills, and transport documentation.
  
• Strong numerical ability and record-keeping skills.
  
• Basic computer proficiency (MS Excel; ERP knowledge preferred).
  
• Good communication and coordination skills.
  

Qualification & Experience:

• Graduate / Diploma in any discipline (Logistics / Supply Chain preferred).
  
• 14 years of experience in logistics, dispatch, and stock maintenance.
  
• Experience in manufacturing or warehouse operations will be an advantage.
