Job Description

Key Responsibilities

Administrative & Managerial Support

  • Manage and maintain the calendars, schedules, and appointments of the School Management.
  • Organize and prepare for meetings, including drafting agendas, compiling documents, and recording minutes.
  • Coordinate internal and external communications, ensuring timely dissemination of information.
  • Draft, proofread, and edit emails, presentations, reports, and other documents.
  • Maintain accurate and organized records, files, and databases (both digital and physical).

Communication & Coordination

  • Act as the first point of contact between management and staff, parents, regulatory bodies, and external stakeholders.
  • Screen and prioritize incoming communications, responding where appropriate on behalf of management.
  • Coordinate and follow up with different school departments (academic, administrative, HR, finance, etc.) to ensure timely completion of tasks and decisions.
  • Support in preparing newsletters, circulars, and formal correspondence.

Operational & Strategic Support

  • Assist in planning and execution of school events, management meetings, inspections, and accreditation visits.
  • Support management in compliance-related documentation with local authorities, education boards, and regulatory bodies.
  • Help in drafting school policies, reports, and strategic presentations.
  • Track and monitor school projects, initiatives, and deadlines, ensuring alignment with management’s goals.

Travel & Logistics

  • Organize domestic and international travel arrangements including transport, accommodation, and itineraries.
  • Coordinate logistics for school events, management visits, and official delegations.

Confidentiality & Professionalism

  • Maintain strict confidentiality and discretion regarding sensitive school and management information.
  • Exercise high levels of professionalism, integrity, and judgement while interacting with stakeholders.

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Education Management, or a related field.
  • 5–6 years of proven experience as an Executive Assistant, preferably in an educational institution or corporate setting.
  • Strong command of English and [local language], with excellent written and verbal communication skills.
  • High proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and digital collaboration tools.
  • Familiarity with school/academic processes and educational compliance will be an added advantage.
