• Source candidates through LinkedIn, database searches, ad postings, networking, headhunting and referrals.
• Discuss candidate profiles with the People and Culture Manager.
• Create long lists of candidate profiles and schedule initial screening interviews for the People and Culture Manager, ensuring at least five relevant candidates are interviewed per vacancy.
• Schedule interviews for candidates shortlisted by the Management.
• Prepare presentations for management institutes, colleges and similar platforms.
• Manage walk-in interviews and related logistics.
• Liaise regularly with recruitment consultants.
• Maintain a database of all profiles received through the company website and other sources.
• Handle employee documentation including personal and account details.
• Ensure all facilities are arranged prior to joining such as email access, laptops, stationery, mobile phones and ID cards.
• Create and maintain employee files with all required documents.
• Assist the People and Culture Manager in preparing and regularly updating the training calendar.
• Coordinate with trainers to ensure trainings are conducted on schedule.
• Collect trainee feedback after each session.
• Maintain employee leave records based on approvals received from line managers.
• Maintain a database of employee account details.
• Prepare flyers for various employee related activities.
• Continuously update and maintain employee information records.
• Handle and escalate HR related queries from employees.
• Assist the People and Culture Managers in developing company policies and procedures.
• Conduct market best practice studies across various HR areas.
• Execute strategic projects as assigned from time to time.
• Contribute to the automation of HR processes, including coordination with the IT department.
• Ensure continuous availability of office facilities such as water, coffee and stationery.
• Handle utility bill payments on time.
• Maintain the office petty cash register.
• Coordinate building and office access cards.
• Coordinate with vendors for regular supplies of T-shirts, mugs, bags and other corporate gift items.
• Manage regular office events including birthdays, cultural functions and festival celebrations.
• Monitor and execute the employee welfare calendar consisting of more than twenty five events annually.
• Actively participate in official corporate events organised or attended by the company.
• Graduate or Post Graduate in HR.
• IT related knowledge is an added advantage.
• Ability to interact effectively with people from diverse backgrounds.
• Ability to explain and present factual information in a structured, clear, confident and concise manner.
• Excellent written communication skills using clear and concise language.
• Good knowledge of MS Office suite and applications such as Publisher.
