About the Role:

We are seeking a dedicated and organised Admin Executive to join our dynamic team. The ideal candidate will be responsible for a wide range of administrative tasks, ensuring the smooth operation of our office and providing essential support to our team.

Key Responsibilities:

  • Coordinate office space and facilities, including maintenance and repairs with Management
  • Manage meeting room bookings and ensure proper utilisation.
  • Track and manage access cards for team members.
  • Order office supplies, including snacks, refreshments, and rewards.
  • Handle service complaints and replacements related to office assets (laptops, phones, etc.).
  • Address vendor issues and coordinate repairs.
  • Liaise with vendors for office supplies, services, and repairs.
  • Ensure timely payments and resolve any discrepancies.
  • Assist with bill payments and maintenance expenses.
  • Monitor and track office budgets.
  • Implement measures to prevent fraud and protect sensitive information.
  • Provide administrative support to team members as needed.

Qualifications:

  • Proven experience as an Administrative Assistant or similar role.
  • Strong organisational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy.

Preferred Qualifications:

  • Experience in a fast-paced office environment.
  • Knowledge of vendor management and procurement processes.
  • Familiarity with office management software or tools.
