Objectives of this role

  • Support the Country Head/ Director primarily and provide additional support to team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently.
  • Maintain and refine internal processes that support companywide and coordinate internal and external resources to expedite workflows.
  • Manage communication with employees by liaising with internal and external executives on various projects and tasks.
  • Plan and orchestrate work to ensure that senior executives priorities are met, organizational goals are achieved, and best practices are upheld

Responsibilities

  • Assist to Director:

    Manage professional and personal scheduling for Country Head/Director, including travel booking, hotel booking and other company logistics.

  • Travel Booking:

    Manage senior executives travel logistics and activities, including flight booking, Cab booking, accommodations and transportation.

  • Facility management

    : Facility management & procurement Maintain records, correspondence and vendor coordination. Communication Liaise with building management, security, housekeeping and service vendors. Sourcing of Housekeeping material. Order and arrange the meal for guest.

  • Administration Work:

    Provide administrative and office support, such as spreadsheet creation, Making PPT presentation, maintenance of filing system and contacts database and handle the other office administrative work.

  • Employee Engagement Programs:

    Organize team communications and plan events, both internal and off-site.

  • IT Support & Co-ordination:

    Understanding the IT requirements of the staff and catering to it and co-ordinate with HO if required.

  • Recruitment:

    Coordinate recruitment activity, onboarding and training programs and employee engagement initiatives. Maintain accurate employee records and support employee relations. Generate HR reports, contributes to improving HR process and assist in HR policy implementation. Maintain professionalism and strict confidentiality with all materials.

  • Office Maintenance with the help of Office Boy.

Required skills and qualifications

  • Five or more years of experience in an administrative role.

  • Excellent written and verbal English communication skills and time management skills ability to multitask and maintain confidentiality Experience in employee support and compliance coordination.
