Job Description

The Assistant Manager HR & Administration is responsible for managing employee attendance, payroll processing, statutory compliances, vendor billing, travel management, and various HR administrative functions. This role ensures smooth HR operations by maintaining accurate records, coordinating with multiple departments, and handling employee-related queries and grievances efficiently.

Key Responsibilities:

Payroll & Attendance Management

  • Process employee attendance, payroll, and disbursement of salaries, site allowances, incentives, and other payments.
  • Calculate variable pay based on attendance-linked wages.
  • Generate and distribute employee payslips.
  • Manage full and final settlements (F&F) and annual bonus calculations.
  • Prepare bi-annual increment lists and process increment arrears.

Statutory Compliance

  • Ensure timely compliance with PF, ESI, PT, LWF, and other statutory requirements for Head Office and project sites.
  • Handle EPF KYC updates, employee transfer requests, and DSC approval.
  • Prepare HR compliance documents (Form A, B, C, D, EPF, ESIC, PT) for multiple sites (e.g., NLC, NCL, NTPC).
  • Generate new ESIC and UAN numbers for employees.

HR Operations & Employee Services

  • Maintain leave records for all employees and approve leave requests via HRMS.
  • Manage HRMS activities including new employee code creation, attendance synchronization, and shift schedule updates.
  • Facilitate bank account openings for new employees.
  • Enroll employees in biometric (FRS) and Matrix attendance systems, and maintain related records.
  • Submit daily manpower and monthly MIS reports (before the 5th of each month).

Vendor & Administrative Coordination

  • Process vendor invoices and payments related to site security, vehicles, facility management, guest houses, and utilities.
  • Coordinate with Finance & Accounts for vendor payments and employee reimbursements.
  • Manage travel desk operations including booking flights, train tickets, and processing travel claims.
  • Prepare food allowance reports for multiple sites twice monthly.
  • Procure office stationery and manage SIM card procurement, payments, and issue resolution.

Employee Engagement & Benefits Administration

  • Prepare Rewards & Recognition (R&R) reports for Head Office employees.
  • Issue Pluxee cards to new employees.
  • Manage monthly additions and deletions for Group Medical Coverage (GMC).
  • Address and resolve employee grievances in a timely manner.
  • Conduct weekly site HR/Admin review meetings.
