Job Purpose:
Managing individual functions of Vendor Development, Procurement, PPC, Logistics and Stores Management as an integrated approach of supply chain processes, with a view ensure highest customer satisfaction, offer the highest quality and optimize costs. Participate in New Product Development and projects by extending SCM support.
Key Responsibilities:
Production Planning:
- Review master production schedule and work orders, establish priorities for specific customer orders.
- Approve schedules revised according to work order specifications, established priorities, and availability or capability of workers, parts, material, machines, and equipment (as per capacity and marketing requirements).
- Coordinate with all concerned to remove possible obstacles in the way of smooth production.
- Coordinate (Single Point of Contact) and conduct meetings between production, logistics, sales, engineering, quality, and HR to ensure production plan is achieved; highlight and lead resolution of any conflict in schedules.
- Conduct root cause analysis for non-achievement of production plans.
Sourcing Routine / New Product Development / Projects:
- Understand the corporate sourcing strategy.
- Understand and implement designed procedures & systems to evaluate, select, engage, and review vendors and defined selection criteria.
- Undertake assessment of plants current spending what is bought, where, and at what prices.
- Support costing to develop material cost forecasts or standard cost lists.
- Ensure availability of alternative vendors by negotiating or renegotiating and administering contracts with suppliers, vendors, and other representatives to avoid monopoly and reduce costs.
Procurement:
- Understand and implement corporate purchasing and contract management instructions, policies, and procedures.
- Define material planning norms.
- In case of advance payment terms, coordinate with accounts for payments whenever needed.
- Monitor and follow applicable laws and regulations.
- Seek management approvals for all materials not available in store and needed to be purchased locally either by cash or on credit.
- Coordinate documentation for the payment to vendors.
- Follow up for payments and ensure payments are made as per terms.
Warehouse Management:
- Develop or implement procedures & systems to ensure material receipt/stocking and issue, excess and obsolete controls, and periodically monitor and control the same.
- Ensure proper sanction for penal charges payment in case of no negligence by an employee and if circumstances are unavoidable.
- Return materials received in excess of quantities ordered to the supplier as per the procedure for rejected materials unless approval of the competent authority for procurement is obtained in writing to retain the excess quantity received.
- Ensure stock entry of the purchases made at the project site on receipt of a certificate that the items are purchased at the project site and used for the project there.
- Dispose scrap as per policy laid down by the organization and ensure store space does not get blocked.
- Prepare an inventory audit plan and seek approval from SCM Head.
- Ensure inventory audit is conducted as per plan to assess efficiency of the warehouse; audit will center on stock accuracy and control objectives.
- Ensure warehouse infrastructure audit is conducted for measuring infrastructures impact on performance and service levels, and determine whether warehouse operations are complying with safety policies and procedures.
- Use audit results to improve warehouse processes and as evidence for justifying improvements such as space or time-saving capital expenditures.
- Implement cycle count audits as per defined schedules.
- Prepare audit reports, analyze shelf life of items, identify excess and obsolete items, and reconcile stocks with approval from management.
Logistics:
- Direct logistics operations such as transportation or warehouse activities, safety performance, or logistics quality management to ensure achievement of cost, productivity, accuracy, or timeliness objectives.
- Direct or coordinate comprehensive logistical or reverse logistical functions for product lifecycles, including acquisition, distribution, internal allocation, delivery, recycling, reuse, or final disposal of resources.
- Select logistic vendors with the ability to provide efficient, dependable, and cost-effective transportation facilities, in line with corporate policy.
- Monitor product import or export processes to ensure compliance with regulatory or legal requirements.
- Ensure all customs regulations are complied with.
- Ensure carrier compliance with company policies or procedures for product transit or delivery.
- Continually try to improve and develop business performance within the constraints of legislation, fuel costs, and rising environmental pressures.
- Analyze all aspects of corporate logistics to determine the most cost-effective or efficient means of transporting products or supplies.
- Discover the most competent delivery method.
Business Plan:
- Understand annual business plan and goals and targets of your function.
Budget & Cost Control:
- Use optimally, monitor, and control the functional budget for the year. Adhere to policies to control cost.
- Record data and variance against budget items assigned to your function.
- Ensure compliance to defined procedures and use of related formats and checklists in all areas of work.

- Capture data your role is responsible for in defined formats. Ensure accuracy and timeliness of each report.

- Define manpower requirement to ensure results are achieved; prepare analytical justification and take approvals for manpower plan.
- Participate in recruitment and selection of your team, as well as of other departments as and when needed.
- Contribute with quality time in the induction of any team member and ensure the new employee is given all information of systems & procedures within the department for him to be able to perform with immediate effect.
