Front Office Executive

Key Responsibilities

Front Desk & Visitor Management

  • Greet visitors, parents, and students warmly, creating a welcoming and professional environment.
  • Manage the visitor logbook and issue visitor passes as per school protocols.
  • Answer and route phone calls, emails, and inquiries promptly and courteously.
  • Coordinate appointments and meetings with school leadership or relevant departments.

Communication & Coordination

  • Support communication between parents and the school, ensuring messages are conveyed accurately and on time.
  • Assist with drafting and circulating notices, circulars, and updates to parents.
  • Coordinate with the Admin, HR, and Academic teams for smooth daily operations.

Administrative Support

  • Maintain and organize front office records, student information, and staff contact lists.
  • Handle courier services, incoming/outgoing mail, and deliveries efficiently.
  • Support event coordination and logistics for school programs, orientations, and celebrations.
  • Maintain the reception area’s decorum, cleanliness, and presentation.

Professional Conduct

  • Uphold confidentiality, respect, and professionalism in all interactions.
  • Represent the school’s values and philosophy in every engagement.

Requirements

  • Bachelor’s Degree in any discipline.
  • 2–5 years of experience in front office or administrative roles (experience in schools preferred).
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, Outlook) and basic administrative systems.
  • Pleasant personality, strong sense of responsibility, and ability to multitask.
