Job Description

Job Overview:

The incumbent will be responsible comprehensive organizational, administrative and programme support to the office. S/he will act as the bridge between the reporting manager and internal/external stakeholders. S/he will be representing the office and, will prioritize & manage information flow into/out of the office. The incumbent shall also be responsible for data governance & driving events for CXOs office.

Education & Qualifications:

Graduation is mandatory; Post Graduation/Diploma in EA will be preferred.

Essential Skills & Experience:

  • Minimum 8 years of experience as an executive assistant / executive secretary for a senior level individual, in a large and reputed organization
  • Experience of handling multiple stakeholders
  • Ability to work in a high-stakes & high-pressure environment
  • Ability to prioritize assignments with impeccable accuracy and results.
  • Experience in handing large volume of correspondence, coordinate and organize meetings, take efficient minutes and coordinate follow-ups, make travel arrangements, manage diaries, update personal expense sheets.
  • Strong MS Excel skills.
  • Proven experience in driving event management.

Key Responsibiltities:

  • Provide comprehensive administrative support to the manager, ensuring smooth day-to-day operations.
  • Manage and screen all incoming and outgoing communication with professionalism and accuracy.
  • Schedule appointments, coordinate meetings, and prepare agendas and related documentation.
  • Liaise with the travel desk to arrange travel, accommodation, and other logistical requirements as needed.
  • Support the manager in achieving daily objectives by managing calendars, coordinating meetings, planning events, and handling general administrative tasks.
  • Prepare and maintain correspondence, reports, and other materials with a high degree of accuracy and timeliness.
  • Manage team-related data sets, maintain Excel trackers, generate reports, and assist with expense management and reconciliation.
  • Handle any additional tasks or assignments arising during daily operations while ensuring strict confidentiality of information at all times.
