Job Description

Role & responsibilities:

1. Executive Support

  • Manage the Managing Directors daily schedule, appointments, and travel arrangements.
  • Prepare meeting agendas, minutes, and follow-up on action items.
  • Draft, review, and edit correspondence, reports, and presentations on behalf of the MD.
  • Maintain and organize confidential files and records.

2. Communication & Coordination

  • Act as the primary point of contact between the MD and internal/external stakeholders.
  • Screen and prioritize phone calls, emails, and requests for meetings.
  • Coordinate communication across departments as directed by the MD.

3. Office & Administrative Management

  • Handle document management, filing, and data retrieval systems.
  • Organize executive meetings, conferences, and other official functions.
  • Assist with preparation of reports, business documents, and board materials.
  • Ensure smooth operation of the MD’s office and manage incoming/outgoing documents.

4. Confidential & Professional Conduct

  • Uphold strict confidentiality on sensitive business and personal matters.
  • Maintain a high level of integrity representing the MD’s office.

Qualifications & Requirements

Education

  • Any Graduate

Experience

  • 6–10 years of experience as an Executive Secretary, Administrative Assistant, or similar role (preferably supporting senior management).

Skills

  • Excellent communication skills (written and verbal).
  • Strong organizational and time-management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask, prioritize, and work under pressure.
  • High level of confidentiality and professionalism.
  • Strong interpersonal skills.

Working Conditions

  • Office-based role with occasional extended hours as required by executive schedules.
  • Interaction with senior executives, staff, clients, and external partners.
