Job Description

Executive Personal Assistant to the Chairman & CEO

Location: Corporate Head Office (with occasional travel as required)

Employment Type: Full-Time

Key Responsibilities:

Executive Support

1. Serve as the primary point of contact between the Chairman/CEO and internal/external stakeholders across business units and global partners.

2. Manage and maintain complex calendars, schedule meetings, and coordinate appointments, travel, and logistics.

3. Prepare and organize briefing materials, presentations, and reports for meetings, conferences, and reviews.

4. Draft and manage business correspondence, memos, and communication on behalf of the CEO.

5. Track and follow up on action items, deadlines, and project milestones, ensuring effective implementation.

6. Liaison with senior leadership teams, board members, and overseas offices to ensure smooth information flow.

7. Support the CEO in managing confidential corporate, financial, and strategic information.

Administrative & Back Office Management:

1. Oversee documentation, filing systems, and back-office coordination related to the CEO’s office operations.

2. Monitor and optimize administrative processes for time efficiency and accuracy.

3. Work closely with accounts, HR, and operations departments to ensure timely execution of key deliverable s.

4. Coordinate vendor management and service requirements for the Chairman’s office.

Personal Assistance

1. Manage personal and household responsibilities for the Chairman and family, including appointments, events, travel, and logistics.

2. Handle confidential personal matters with utmost discretion and reliability.

3. Oversee domestic staff coordination, household budgets, and related administrative needs.

Qualifications and Skills:

1. Bachelor’s degree required: Master’s or Postgraduate qualification preferred.

2. Minimum 5–10 years of experience in a senior executive or personal assistant role supporting top management.

3. Excellent communication, writing, and interpersonal skills.

4. Strong planning, problem-solving, and multitasking abilities with acute attention to detail.

5. Proficiency in MS Office Suite, Google Workspace, and digital collaboration tools.

6. Comfortable working across multiple time zones and managing international schedules.

7. High integrity, discretion, and a professional demeanor.

8. Ability to work flexible hours, including extended duties when needed.
