Job Description

The Facility & Administration Officer will ensure the smooth functioning of MSSRF s Chennai campus, supporting its mission-driven work by maintaining high-quality facilities, welcoming environments for visitors, and efficient operational systems. This role combines facility management with hospitality and administrative support, ensuring that spaces are well-maintained, resources are optimally used, and services reflect MSSRF s values of professionalism, sustainability, and inclusivity.

Key Responsibilities :

  • Campus & Facility Oversight: Manage the day-to-day operations of the Chennai campus, including performance spaces, visitor coordination, and estate-related activities, ensuring they are functional, safe, and welcoming for staff, partners, and beneficiaries.
  • Vendor & Utility Coordination: Engage with service providers and vendors to ensure timely delivery of services and smooth operation of all utilities, with a focus on cost-effectiveness and quality.
  • Guest House Management: Oversee the MSSRF guest house, ensuring hospitality standards, cleanliness, and a comfortable stay for visiting researchers, partners, and collaborators.
  • Maintenance Supervision: Coordinate with administrative and support staff to schedule regular maintenance and repairs, ensuring minimal disruption to ongoing activities.
  • Preventive Maintenance: Implement preventive maintenance plans for air-conditioning units and other key infrastructure to prolong asset life and reduce breakdowns.
  • Vehicle Administration: Ensure timely servicing, upkeep, and insurance compliance for MSSRF s vehicles (two-wheelers and four-wheelers) used for field and operational purposes.
  • Documentation & Compliance: Maintain accurate administrative records, vendor agreements, and reports related to facility management, ensuring adherence to MSSRF policies and statutory requirements.

Qualifications & Experience :

  • Bachelor s degree in Facility Management, Administration, Hospitality, or a related discipline.
  • 3 5 years of experience in facility and administration, preferably within the NGO, research, or Corporate sector.
  • Demonstrated ability to manage vendor contracts and operational budgets.
  • Proficiency in MS Office and record-keeping systems.
  • Familiarity with environmentally sustainable facility practices is desirable.
