Executive Assistant to the CEO

Key Responsibilities:

Executive Support & Calendar Management

  • Manage and coordinate the CEO’s complex calendar, including internal/external meetings, events, and business engagements.
  • Prioritize and adjust appointments as needed to align with changing business needs.
  • Prepare the CEO for meetings by compiling reports, agendas, and briefing materials.

Communication & Correspondence

  • Act as the point of contact between the CEO and internal/external stakeholders.
  • Draft professional emails, memos, and other correspondence on behalf of the CEO.
  • Ensure timely and effective communication flow across departments and with partners.

Travel & Logistics Management

  • Plan and coordinate all travel arrangements including flights, visas, hotels, and ground transportation.
  • Prepare detailed itineraries and support logistics during domestic and international trips.
  • Handle post-travel expense reporting and reimbursements.

Administrative & Confidential Support

  • Handle sensitive and confidential information with the highest level of discretion.
  • Organize and maintain executive files, documents, and records for easy retrieval.
  • Support the CEO in preparing reports, presentations, and key documents.

Strategic & Personal Assistance

  • Assist the CEO with special projects, strategic initiatives, and research tasks as required.
  • Provide personal assistance on non-business matters as needed.
  • Liaise with senior leadership and board members to coordinate executive-level interactions.

Key Requirements:

  • Minimum

    3 years of experience

    as an Executive Assistant, preferably to CXO-level leadership in an

    IT or tech-driven organization

    .
  • Strong experience in

    calendar and travel management

    , stakeholder coordination, and high-level administrative support.
  • Proficient in

    MS Office Suite (Outlook, Word, Excel, PowerPoint)

    and productivity tools.
  • Ability to

    anticipate needs, handle pressure, and manage multiple tasks

    simultaneously.
  • Excellent

    written and verbal communication

    with strong interpersonal skills.
  • High level of

    professionalism, integrity, discretion, and confidentiality

    .

Educational Qualification:

  • Bachelor’s degree in any discipline (Business Administration or related field preferred).
