Job Description

Position Title: Executive Assistant Location: Goregaon, Mumbai Position Summary: As an Executive Assistant, you will play a pivotal role in supporting the senior leadership team by providing high-level administrative assistance. Your primary responsibilities will include managing calendars, coordinating meetings, handling correspondence, and assisting with various projects. The ideal candidate will have strong organizational skills, exceptional communication abilities, and a proactive attitude to anticipate the needs of the executives. Key Responsibilities: Provide high-level administrative support to the Executives, including managing their schedules, appointments, and meetings. Coordinate travel arrangements, including flights, accommodations, and itineraries. Handle confidential information with discretion and maintain a high level of professionalism at all times. Oversee and manage the executives calendar, scheduling appointments, meetings, and events, ensuring all logistics are coordinated smoothly. Proactively adjust schedules based on changing priorities, business needs, and urgent requests. Serve as a point of contact between executives, internal teams, clients, and external partners. Draft, proofread, and send emails, memos, and other communication on behalf of the executive. Handle incoming and outgoing correspondence efficiently and professionally. Organize and prepare for meetings, including creating agendas, taking minutes, and following up on action items. Coordinate virtual and in-person meetings, ensuring all participants are informed of schedule changes or updates. Project Management: Assist with the execution of special projects, research, and other tasks as directed by the executive team. Maintain organization of project files, timelines, and deliverables. Event Planning & Coordination: Plan and organize events, both internally and externally, such as board meetings, conferences, and team-building activities. Qualifications/Experience: 5-8 years of experience as an Executive Assistant or in a similar administrative role supporting senior leadership. Proven experience managing high-level executive calendars, travel arrangements, and complex schedules. Education: A Bachelors degree in Business Administration, Communications, or a related field is preferred.
