Job Title: Executive Assistant to Director

Department: Administration / Management Office

Reporting To: Director / Managing Director

Job Summary:

The Executive Assistant to the Director provides high-level administrative support and ensures the smooth coordination of the Director’s office. This role involves handling confidential information, managing communications, coordinating meetings, preparing reports, and ensuring effective time management for the Director.

Key Responsibilities:

1. Administrative & Executive Support

  • Manage and maintain the Director’s calendar, schedule appointments, and coordinate meetings.
  • Handle all correspondence, including emails, phone calls, and documentation on behalf of the Director.
  • Prepare reports, presentations, and other business documents with accuracy and professionalism.
  • Maintain filing systems and ensure confidentiality of sensitive information.

2. Coordination & Communication

  • Act as a point of contact between the Director and internal/external stakeholders.
  • Ensure timely communication and follow-up on assigned tasks and pending matters.
  • Coordinate inter-departmental communication and facilitate decision-making processes.

3. Meeting & Travel Management

  • Plan and organize meetings, including preparing agendas, taking minutes, and following up on action items.
  • Coordinate travel arrangements, itineraries, accommodations, and logistics for the Director.

4. Business Support Activities

  • Assist in reviewing business reports, proposals, and documents for accuracy before submission.
  • Support the Director in monitoring project progress and ensuring deadlines are met.
  • Conduct market or business research when required.

5. Office & Confidential Support

  • Handle confidential and sensitive information with discretion.
  • Manage expense reports and reimbursements for the Director’s office.
  • Perform other administrative or strategic support tasks as assigned.

  • Strong organizational and multitasking abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • High level of discretion and integrity.
  • Ability to work independently and manage priorities efficiently.
  • Attention to detail and problem-solving skills.

Qualification & Experience:

  • Bachelor’s degree in Business Administration or a related field (MBA preferred).
  • 2–5 years of experience as an Executive Assistant, Personal Assistant, or similar role in a corporate setup.
  • Experience in handling confidential correspondence and executive-level coordination.

Job Types: Full-time, Permanent

Pay: ₹22,000.00 - ₹30,000.00 per month
