Role Overview: As an Executive Assistant at Codilar, you will play a crucial role in providing high-level administrative support to our Director. Your exceptional organizational skills and proactive attitude will be instrumental in managing various tasks efficiently. You will represent the Director and the company with professionalism, handle sensitive information with discretion, and oversee multiple responsibilities effectively. Key Responsibilities: - Manage and maintain the Director's calendar, including scheduling meetings, appointments, and travel arrangements. - Prepare and edit correspondence, communications, presentations, and other documents. - Organize and manage events, including logistics and coordination of participants, taking full ownership from planning to post-event follow-up. - Serve as the primary point of contact between the Director and internal/external stakeholders. - Represent the Director in meetings, conferences, and events as required. - Communicate on behalf of the Director, ensuring accurate and timely message delivery. - Oversee and manage special projects and initiatives assigned by the Director. - Coordinate with various departments to ensure timely project completion. - Track and report on project progress aligning with the Director's goals. - Conduct research, compile data, and prepare reports for presentation. - Handle confidential information with professionalism. - Work closely with the senior leadership team to support organizational goals. - Assist in meeting preparation, including creating agendas, taking minutes, and following up on action items. - Provide support in managing the Director's tasks and responsibilities as needed. Qualifications & Skills: - Bachelor's degree is required. - 1 year of experience preferably in software companies. - Proficiency in Microsoft Office suite. - Strong verbal and written communication skills for effective interaction. - Ability to prioritize tasks, manage multiple tasks, and meet deadlines in a fast-paced environment. - Capacity to identify issues, propose solutions, and implement corrective actions. - Team player mindset with effective collaboration skills. - Attention to detail and high level of accuracy. - Flexibility to adapt to changing priorities.
