Role Purpose:

The Executive Assistant to CMD will provide high-level administrative support to the Chairman & Managing Director (CMD) and ensure smooth communication and coordination across various business functions. The role requires a dynamic individual who excels at multiple tasking, and can assist in decision-making by aligning the given task time to time.


Key Responsibilities


Coordination & Communication:

  • Act as a liaison between CMD and internal/external stakeholders.
  • Manage calendars, schedule meetings, and prioritize appointments.
  • Prepare and circulate meeting agendas, minutes, and follow up on action items.
  • Handle day-to-day correspondence and ensure timely communication.
  • Maintain confidentiality in handling sensitive information.


Financial Assistance & Reports:

  • Assist CMD with reviewing financial reports and data.
  • Track budgets, expenses, and accounts-related processes.
  • Liaise with accounts team for record-keeping and compliance.
  • Prepare reports, financial summaries, and presentations.


Project Management Support:

  • Coordinate projects, ensure deadlines are met, and provide progress updates.
  • Monitor project timelines, budgets, and resources.
  • Collaborate with departments for smooth execution of initiatives.


Administrative Support:

  • Organize travel arrangements and itineraries for CMD.
  • Handle confidential documents and prepare presentations.
  • Manage CMD’s office needs, including supplies and IT support.


Stakeholder Management:

  • Serve as point of contact for CMD with internal stakeholders.
  • Act as liaison for external stakeholders (clients, partners, vendors, board members).
  • Represent CMD in meetings or events and relay key insights and action items.

Qualifications

  • Experience in Executive Administrative Assistance
  • Understanding of SAP preferred
  • Strong Phone Etiquette and Communication skills
  • Proficiency in Microsoft Office Suite
  • Excellent organizational and time-management skills
  • Ability to multitask and prioritize tasks effectively
  • Bachelor's degree in Business Administration or related field is preferred
  • 5+ years of experience
