Position Overview

The Executive Assistant (EA) to the CEO will provide high-level administrative and operational support in a fast-paced, global environment. The EA will serve as a key liaison between the CEO and internal/external stakeholders, manage a complex schedule, and ensure the smooth running of day-to-day activities. This role requires exceptional organisational skills, discretion, and the ability to handle sensitive information with professionalism.

Key Responsibilities

  • Board and Executive Meetings:

  • Attend and take comprehensive notes/minutes at board meetings, leadership team meetings, and other high-level discussions.
  • Prepare and circulate meeting agendas, minutes, and follow-up action items.
  • Administrative Support:

  • Manage the CEO’s calendar, including scheduling and coordinating meetings, appointments, and travel arrangements (domestic and international).
  • Handle confidential correspondence and documentation, ensuring prompt and professional communication.
  • Day-to-Day Operations:

  • Support the CEO with daily operational and strategic tasks.
  • Organise and prioritise incoming requests, ensuring efficient workflow and time management.
  • Prepare reports, presentations, and briefing materials as needed.
  • Client & Stakeholder Interactions:

  • Act as a point of contact for clients, partners, and internal teams on behalf of the CEO.
  • Coordinate and prepare for client meetings, including logistics, agenda, and follow-up.
  • Travel Management:

  • Arrange complex international and domestic travel itineraries, including visas, accommodation, and transport.
  • Prepare detailed travel briefs and manage travel-related expenses.
  • Special Projects:

  • Assist in coordinating and executing special projects and company events as assigned by the CEO.


Qualifications & Skills

  • Bachelor’s degree in Business Administration or related field (preferred).
  • Minimum 5 years of experience as an executive assistant or similar role, preferably in a multi-national IT or technology environment.
  • Exceptional verbal and written communication skills.
  • Strong organisational and time management abilities.
  • High level of professionalism, discretion, and confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
  • Ability to work across multiple time zones and adapt to changing priorities.
  • Strong interpersonal skills and the ability to interact with senior executives and clients globally.
  • Flexible and available for occasional travel at short notice.
